Reminder emails for pending tasks

Administrators will now be able to configure reminder emails to be sent for tasks in pending status. The feature can be enabled from the Advanced menu on the left-hand side.

An administrator can tick the Reminder Notifications field to view the available setup options.

The first text field indicates the number of days. The drop-down field next to it following this has two values:

  • day(s) Before Due Date
  • day(s) After Due Date

Select the ‘Add Reminder’ button to the bottom of the text field allows the administrator to add more reminders. A maximum of 5 reminders can be set. Just below the button is the time-of-day drop down which allows one to set what time of day the reminder emails will be sent.

Below is the screenshot of the page which follows the time drop down.

Email Template is the area where the administrator can configure Subject and body of the reminder email.

The email body can have the following information included from the task by using correct syntax:

  • Task Description: ${taskDescription}
  • Task Notes: ${taskNotes}
  • Task Due Date: ${taskDueDate}
  • First Name: ${firstName}
  • Surname: ${surname}
  • Username:${userName}

The email will be sent from the mail address defined in system property ‘mailSenderEmail’.

Below is an example of a Task Manager Configuration page with 5 reminders set.

Notification for updates in tasks

Administrators can configure notifications to be sent for changes made in tasks. Any changes made in the task will be sent a notification email to the assignee.

The option is available in the Task Manager Configuration screen.

An Email will be sent to the assignee when the task is created or deleted.

An email will also be sent to the assignee when the task is updated in the following details:

  • priority order
  • description
  • Notes
  • Due Date
  • Frequency
  • Period
  • Assignee
  • Attachment

Ticking the checkbox of ‘Update Notifications’ will display the setup fields below for configuration.

  • email subject: what information you want to inform your team
  • email body: details of tasks

Task details may be included in the email body using the correct syntax:

  • Task Description: ${taskDescription}
  • Task Notes: ${taskNotes}
  • Task Due Date: ${taskDueDate}
  • First Name: ${firstName}
  • Surname: ${surname}
  • Username:${userName}

note: The bottom of the page has instructions on how to use the tag words to include important information as part of email body.

Product Enhancements

Rules and Rule definitions were enhanced to make sure that the rules are triggered in the order they have been configured within the Plan Rule Set section.
